Purchasing Administrative Assistant

To be responsible for all cost control related activities, processing of food and beverage supplier invoices and maintaining Birch Street stock control and purchase order module. In conjunction with the Purchasing Manager, to be responsible for all purchasing, receiving and storing activities in which the Hotel engages. To ensure that the requests of all areas for supplies and equipment are met, within the limitations of the budget and expense controls agreed by the Management and under the direction of the Purchasing Manager. To organise, maintain and coordinate the flow of materials, and information relating to purchasing throughout the Hotel, research new products and maintain up-to-date records of stocks in all general stores. To co-ordinate and manage the overall operations of the Purchasing and Storeroom Department to ensure that all departments of the Hotel have adequate supplies to perform their duties in an efficient manner.

Main Duties and Responsibility

1. To work closely with the Director of Purchasing and Executive Chef to link purchased goods with loaded recipes in Birchstreet.

2. To ensure that all purchase order requests are properly completed and approved before a purchase order is prepared and items purchased.

3. To ensure that all items received by the Hotel are properly documented in accordance with Four Seasons�?? purchasing and receiving procedures.

4. To assist the Accounts Payable Clerk in researching any discrepancies on invoices.

5. To capture and process food and beverage invoices/credit notes through the Accounts Payable system and follow up on any discrepancies as and when required.

6. Review with Executive Chef & Team regarding purchases outside of Compass/Foodbuy (Sherman) program.

7. To ensure that all storage areas are secure, clean and properly organised in compliance with Ecosure program.

8. To establish and maintain par stock on all inventoried items, keeping in mind that inventory levels must be kept as low as possible, without compromising the efficiency of the Hotel.

9. To attend the monthly Purchasing Department meeting and the monthly Finance Department meeting.

10. To co-ordinate and undertake all month-end and/or tri-annual inventories of food, beverage, operating equipment and supplies.

11. To capture and process all inventory counts undertaken, investigate discrepancies arising and complete reconciliations of inventory values.

12. To maintain, monitor and manage the stock control system in relation to the stock item database, requisitions and transfers, recipe costing, purchase orders and inventories.

13. To maintain local policies as they relate to the receipt, issuance and general controls of food and beverage.

14. To maintain menu costing on all food items and inform Food and Beverage Management of any pricing problems.

15. To produce at the end of each month a deadstock beverage review and highlight to Food and Beverage Management any areas of concern.

16. To notify the Executive Chef of any relevant price fluctuation for a given commodity.

17. To follow-up on any non-delivery of items, part-deliveries or returned items, communicated by the Goods Receiver.

18. To establish, implement and maintain follow-up procedures for all outstanding orders, and to liaise with Department Heads and the Goods Receiver, keeping them informed of any delivery delays and the availability of their requirements.

19. To conduct self in a professional manner at all times, to reflect the high standards of Four Seasons Hotels.

20. To perform any additional duties as assigned.

21. To be willing to work a flexible schedule in order to accomplish all tasks. Ability to single lift up to 50lb and team lift items exceeding 50lb.

22. To be able to maintain good working relationships with all departments to promote effective purchasing.

23. To have commitment to follow all local and company policies and procedures.

24. To be able to work in a safe, prudent and organised manner. Ability to work in refrigerated areas for short periods where temperature can reach -10 degrees Fahrenheit.
